A practical example
A manufacturing company decided to renew a card system it had used for eight years. The reason was technical: two devices had failed and the same model was no longer produced.
The option of buying new devices was assessed. During the calculation it emerged that the real problem was not the hardware - over eight years the company had opened two new areas, but neither had a recording point, because purchasing a device had never been approved.

When a traditional system fits better

The hybrid model
In practice the arrangement that works most often is mixed: a terminal in a critical or phone-free zone, QR at the remaining points, and reporting unified in one system. This keeps the strengths of both approaches and adapts to different working conditions.
The transition process
Moving from a traditional system to the QR approach is an organisational project rather than a technical one, and the sequence matters.
The first step is writing down the existing rules - lateness threshold, breaks, exceptions. In the old system these rules were usually never documented; they lived in people's memory.
The second step is moving the schedules into the system. In practice this is the stage where inconsistencies surface: some units work to a real pattern that differs from the official schedule.
The third step is a parallel period - at least one full month with both systems running and the results compared.
The fourth step is stopping the old system. The devices are not necessarily removed; they can be retained at critical points.
What happens to existing hardware
A frequent argument in the transition decision is: "we have already spent money on the hardware". Economically that is a sunk cost and should not influence a future decision - but there is a practical approach too.

Three false arguments recur when the two approaches are compared.
"A terminal looks more serious." This is an aesthetic argument and has no bearing on the quality of the record. The decision should rest on technical criteria.
"QR is cheap, so it must be weaker." The cost difference comes from the structure rather than the quality of the technology: no device is bought, so there is no device cost.
"A terminal is more reliable." In practice the opposite can be true - a terminal is a single point of failure, while a printed code cannot break.

The long-term view
The most important difference between the two approaches lies not in today's cost but in the five-year perspective.
In a traditional system cost rises in periodic jumps: devices age and are replaced, new points are added, model support ends. In practice a full renewal is required every five to eight years, and that means a new project.
In the code-based approach there are no such jumps - the system is updated at the software level and carries no hardware obsolescence risk.
The second long-term factor is structural change: relocating an office, opening branches, a lease ending. In a hardware-based system each such event means technical work; in a code-based system it is a few minutes of configuration.
These two factors are rarely calculated during the decision, yet their impact on total cost is large.
