A fingerprint attendance system is the most widespread biometric solution and has been on the market for many years. Its strengths are real; its drawbacks usually become visible only after deployment. This guide lists both sides objectively and shows what should be verified before a decision.

How it works

The terminal stores not an image of the fingerprint but a mathematical template derived from it. At the moment of a check-in the new reading is matched against the stored templates and, on a match, the entry is written. Reconstructing the original image from a template is difficult, but that does not mean the data is insensitive.

Advantages

1. Transfer is impossible

This is the strongest point: a card can be handed to a colleague, whereas a fingerprint is bound to the person. For recording discipline this is a genuine advantage.

One clarification matters in the comparison: in mobile check-in, reliability is not only about reading a code. Which device the record came from, cases where the device changed, and whether the record matches the location of the entry point are separate control layers, and a mismatch reaches the responsible person as a notification. So the difference is not "bound versus not bound" - it is where the control sits.

2. No consumables

Unlike a card system there is nothing to lose or replace. The employee carries nothing.

3. No phone required

In areas without smartphones, or where phones are prohibited, this is a practical advantage.

4. Fast recording

In suitable conditions recognition takes a few seconds and requires no additional action.

Drawbacks

1. Sensitivity to physical conditions

This is the most common problem. Dirty, wet, dry or damaged fingers are not recognised. In construction, manufacturing, agriculture and cleaning the number of failed attempts is high.

2. The number of points is tied to cost

Every entrance needs its own terminal. As a result companies install the minimum number of points and lose recording detail.

3. Not suitable for field work

Installing a terminal at a site, at a customer address or on a route is not possible.

4. Personal data responsibility

Biometric data cannot be changed - unlike a password it cannot be renewed. That creates an ongoing obligation around storage, access restriction and consent.

5. Queues and congestion

At the start of a shift dozens of people gather in front of one terminal. Failed attempts lengthen that further.

6. Hygiene

A system requiring contact creates additional concerns in some sectors - particularly food production and healthcare.

A practical example

A food production company had installed a fingerprint terminal. It worked for the first few months, then two problems appeared.

The first was hygiene requirements: hands were disinfected before entering the production zone, and the terminal did not fit that sequence. The second was staff working in gloves - every check-in required removing them.

As a result employees checked in well before or after their shift started, and the hours no longer reflected reality. The company moved to a hybrid model: a terminal at the office entrance and a contactless QR point in the production zone.

What to verify before deciding

  2. How many entry points are needed, and will the number grow?
  3. Is there field work?
  4. Is the internal rule for storing biometric data ready?

The fifth question is the one most often forgotten, and in practice it causes the most trouble.

The hidden cost of failed recognition

The least calculated cost of fingerprint systems is failed recognition. Datasheets give a low figure; in real conditions it can be considerably higher.

The cost appears in three forms. The first is time: every repeat attempt lengthens the queue at shift start. The second is manual correction: a failed check-in is added later by a manager, which means dozens of rows every month. The third is trust - when a system frequently does not work, the team stops taking it seriously.

The most serious consequence is that after repeated failures the record starts being kept entirely by hand. The system is installed, yet the actual record still rests on human memory.

This indicator must be measured during the trial: out of a hundred attempts, how many succeed on the first try.

Managing the templates

The technical administration of a biometric system differs from a card system and requires additional processes.

Enrolment. Every employee's template has to be captured separately - a few minutes per person, which in a company of 200 means considerable time.

Re-enrolment. When a finger is damaged or recognition quality drops, the template must be renewed.

Multiple points. With several terminals the templates must stay synchronised across all of them; otherwise an employee is recognised at one point but not at another.

Deletion. When an employee leaves the template must be deleted, and that must be documented.

Individually these processes are small, but together they create an ongoing administrative load.

The necessity of an alternative method

When a biometric system is deployed, an alternative recording route must be planned in advance. The need arises in three situations.

The first is employees who do not consent. Concern about personal data is real and legitimate; compulsion is not the right approach in such cases.

The second is employees whose recognition systematically fails. In practice every team has a few, because of the physical characteristics of their fingerprints.

The third is a terminal failure. How will records be made when the device stops working?

If there is no rule for these three cases in advance, records are kept by hand and part of the data loses its reliability. In practice the most used alternative is a second, code-based point.

What to measure during the trial

The suitability of a fingerprint system should be determined by a real trial rather than by datasheet figures. Three measurements are enough.

The share of check-ins successful on the first attempt. Out of a hundred attempts, how many worked immediately. This figure reflects the hand conditions of your own team.

Queue duration at shift start. How long it takes for thirty people to check in. This shows the time lost daily.

The number of manual corrections. How many records were added afterwards during the trial week.

The trial should run in the unit with the hardest conditions - a production area, a warehouse or an outdoor site. A trial conducted in an office makes the result look artificially good and steers the decision the wrong way.

A fingerprint attendance system works well at one fixed entrance in stable, clean conditions and ties the record to the employee.

Its drawbacks are felt more in practice: sensitivity to physical conditions, the cost per point, unsuitability for field work, and an ongoing legal obligation around biometric data.

Two things are essential before deciding: a trial in real conditions, and a planned alternative recording method. Without the alternative, deployment always leaves a gap.
