# How to track employee attendance without extra hardware

**Attendance without hardware** was not possible a few years ago: recording always required a device - a log book, a card reader or a terminal. Today, because existing smartphones act as the recording device, a company can build a full record without buying anything. This guide explains how the model works, which conditions it requires, and where it is not sufficient.

## How the model is built

1. **A recording point is created in the system** - a logical location, not a physical device.
2. **A code is placed** - a printed sheet or a screen.
3. **The employee checks in with their own phone.**
4. **Reconciliation and calculation happen in the system** against the schedule.

The only physical element is the printed code, and its cost is symbolic.

The biggest difference is in the last row: the cost of growth is practically zero.

## Required conditions

- Employees must have smartphones.
- Phone use must be permitted on site.
- There must be a network connection at some point during the day.
- The recording rule must be announced in writing.

The fourth condition is organisational rather than technical - and in practice it is the one most often overlooked.

## A practical example

A cleaning services company employed 45 people across 12 client sites. A hardware-based solution would have required installation permission at every site - practically impossible.

Instead a point was created in the system for each site and the code was placed in the technical room there. Employees checked in on arrival and departure with their phones.

The first month's results delivered two benefits. First, the real distribution of hours per site became visible and was compared against the contracted hours - at two sites the actual service exceeded the contract. Second, it became possible to present hour reports to clients, and those were used in contract negotiations.

No device was purchased.

## Recording discipline

The most frequent question is whether employees forget to check in when there is no physical device. In practice four mechanisms address this:

- **Transparency** - the employee sees their own hours; the record works in their favour.
- **Reminders** - a notification when a check-out is missed.
- **The anomaly report** - incomplete records reach the manager.
- **A clear rule** - it is announced that the record is the basis of the timesheet.

## Where it is not sufficient

1. **Staff without smartphones.** A shared device at the entrance solves this.
2. **Zones where phones are prohibited.** A terminal is required.
3. **Physical access control.** A turnstile or a lock is needed.

In all three cases a hybrid model works: a device at the critical point, hardware-free recording everywhere else.

## The scalability advantage

The greatest practical value of the hardware-free model lies in the future. When a new site, branch or project area opens, extending the record is a few minutes of work in the system. In a hardware-based model every expansion is a new budget request, which in practice leaves the record incomplete.

## What is needed to start

A staff list, schedule templates and names for the recording points. With those three ready the system goes live within a day - no technical installation is required.

## Organising the recording point

Even without hardware, the organisation of the recording point deserves attention - the practical reliability of the system depends on it.

**Position.** The point must sit where people have to pass. The most common mistake is placing it inside the building on a route used only in the morning - in the evening employees take the shortest way out and the check-out is skipped.

**Visibility.** At eye level, in a lit area. If there are night shifts, lighting must be checked separately.

**Naming.** The name of the point should be written beside the code so the employee knows they are checking in at the right place.

**Durability.** Outdoors and in dusty areas a laminate or a plate should be used.

Whether the position was chosen correctly is shown by the number of incomplete records after one month.

## Deployment by company size

The hardware-free model is set up differently in companies of different sizes.

**10–30 people.** One or two points are enough. Registration can be done by hand and there are usually only one or two schedule templates. The rollout takes a day.

**30–100 people.** Several points, three to five schedule templates and a role separation become necessary. Bulk import speeds the work. The rollout takes a week.

**100+ people.** A multi-point structure, separate permissions for department managers, a staged rollout. Starting with a pilot in one department is more practical.

What is common to every size is the preparation phase: writing the rules and formalising the schedules.

## What it does not replace

For an honest position the boundaries of the model must also be stated. Hardware-free attendance does not do three things.

First, it creates no **physical access control**. If a door must be blocked, a separate solution is needed.

Second, it does not **enforce recording discipline**. The system can remind and flag anomalies, but making the record is secured by an organisational rule.

Third, it does not **cover staff without smartphones** on its own - that case requires a shared device or a hybrid model.

When these three limitations are accepted in advance the model performs very effectively in practice; when they are hidden, disappointment follows the rollout.

## Comparing project duration

The most underestimated advantage of the hardware-free model is the rollout time, and it converts directly into cost.

In a device-based project the chain is long: supplier selection, ordering, delivery, an installer, electrical work, site access permission, testing. In practice this takes four to eight weeks and every link is a source of delay.

In the hardware-free model the preparation is entirely internal: writing the rules, assigning the schedules, creating the points and printing the codes. That usually takes one to three days.

The practical value of the difference is that the system starts delivering benefit sooner and the project does not lose attention during a long wait.

In addition, a trial can be run quickly - real results can be seen before the decision is made.

## In summary

Attendance without hardware is a real and widely used model today: the recording point is a printed code and the device is the employee's existing phone.

The model requires three conditions - a smartphone, a network connection and a written recording rule. When those are met, both the initial and the expansion cost are practically zero.

Its boundaries should be known openly: it creates no physical control and does not by itself cover staff without smartphones. Both cases are solved with a shared device or a hybrid arrangement.
