Does **QR attendance require extra hardware**? The short answer is no - no terminal, no reader, no cabling. But the longer answer is more useful, because "no hardware" hides a few conditions. This guide sets out the real requirements, the cases where an additional device helps, and an open cost comparison.

## What is required

- **A printed code** - one sheet or plate for each recording point.
- **The employee's phone** - an existing smartphone is enough.
- **An internet connection** - mobile network or Wi-Fi.
- **A computer for the admin panel** - HR already has one.

Nothing on this list has to be bought. The only element that costs anything is printing the code, and that is a symbolic amount.

The situation was resolved like this: a tablet was set up at the entrance to the site and seasonal workers checked in there, while permanent staff used their own phones. One device covered 40 people.

For comparison: the card option required three readers, 120 cards and installation, and collecting the cards back at the end of the season was a separate problem.

## Cost comparison

The difference becomes clearer over a three-year total. In a traditional system the calculation includes devices, installation, cards and their replacement, spare parts, maintenance and additional devices for new points. In a QR system almost all of those lines are zero - only the subscription remains.

## The internet question

The most frequent technical question is what happens at a site without internet. The practical answer: the record is stored on the device and sent once the connection returns, while the timestamp reflects the real moment. A permanent connection at the site is therefore not required - the employee's phone only needs to reach the network at some point during the day.

## Employees without phones

This is the most genuine limitation, and it has three practical solutions:

- A shared device at the entrance.
- A terminal at a critical point - the hybrid model.
- A group record made by a manager - as an exception.

The third option reduces the accuracy of the record and is therefore only recommended as a temporary measure.

## Printing and placing the code

Since the code is the only physical element, a few practical points apply to preparing it.

**Size.** The code should be readable comfortably from one to one and a half metres. A code that is too small forces employees to lean in and creates a queue at shift start.

**Material.** In an office, plain printing is enough. Outdoors, in warehouses and in dusty areas a laminate or plastic plate lasts far longer.

**Position.** At eye level and at a point people must pass. If there are night shifts, lighting must be considered.

**Label.** The name of the point should be written next to the code - "Warehouse entrance", for example. This helps employees confirm they are checking in at the right place.

The cost of all this amounts to a few sheets of paper and some laminate.

## The shared device option

For employees without phones the most practical answer is keeping one shared device at the entrance. This option requires a few details.

The device is installed in a fixed location and connected to the network. Each employee checks in with their own account - the device is shared, the account is not.

In practice one tablet can cover thirty to fifty people; a short queue may form at the start of a shift, but that is no different from the situation with terminal systems.

The cost comparison is clear: there is a significant difference between one tablet and five terminals. Moreover, if the tablet fails it is replaced with an ordinary device - no special model is required.

## The three-year cost calculation

Looking only at the initial cost is misleading. For a practical comparison the three-year total should be calculated.

In the hardware-based option the calculation includes: devices, installation and electrical work, cards and their annual replacement, spare devices, a maintenance contract, additional devices for new points, and the working hours spent restoring records manually on failure days.

In the code-based option almost all of those lines are zero; what remains is the subscription and a symbolic printing cost.

For companies with more than three recording points the difference usually reaches several multiples and becomes the strongest argument for the decision.

## The hidden advantage of the hardware-free model

The absence of hardware is not only a cost question - it also simplifies the organisational side of the project, and that is often overlooked.

In a device-based project the steps are: selecting a supplier, ordering, waiting for delivery, engaging an installer, obtaining permission for electrical work, arranging site access, and testing after installation.

Every link in that chain is a source of delay. In practice most of the rollout time goes not into technical work but into waiting and coordination.

In the hardware-free model almost all of that chain disappears: the preparation consists of writing the rules and assigning the schedules - both internal tasks that depend on no external party.

As a result the project takes days rather than weeks, and the risk of delay drops to a minimum.

QR attendance requires no additional hardware: existing smartphones and a printed code are enough. This cuts both the cost and the rollout time sharply.

Two cases are exceptions - staff without phones and areas where phones are prohibited. Both are solved with a shared device or a hybrid model, which is still far cheaper than a fully hardware-based setup.
