In one office, installation looks like a one-time job and gets written into the calculation as one.

## The second hidden line: departures

In a model using cards or biometric enrolment, every departing employee requires an administrative step: collecting the card, closing access, updating the device record.

For one or two people this does not count as work. In a company with thirty changes a year it becomes a standing obligation - and one forgotten card is, in practice, an entrance that stays open for a long time.

## The third line: unrecorded cases

When a device fails or conditions prevent a record, that day's row gets filled in by hand.

## A worked example: what the three-year table showed

A logistics company had 140 employees across three branches and two warehouses. Two more warehouses were planned over the next three years.

Finance calculated both options in the same table. In the device option, year one: terminals, installation and configuration for five points; later years: annual service, replacing one terminal, and the full cycle for two new warehouses. Internal time: roughly six hours a month.

In the subscription option, year one: setup and subscription; later years: subscription only. A new warehouse: a row in the structure. Internal time: roughly two hours a month.

The outcome was not what was expected: in year one the difference was small, because the price of the devices alone was not decisive. The gap opened in years two and three, and it came from two lines - adding new sites and internal time.

This line is the hardest part of the calculation, precisely because it never appears on any document. A month of simple observation is enough to measure it.

The table has three columns: task, who does it, how long it takes. The rows: checking and accepting devices, the daily review of records, manual corrections, administrative work around departures, and report preparation.

After a month a total emerges and gets multiplied by an hourly value. In practice, for a company of 100-150 people, that figure lands between five and eight hours a month.
