In the opening budget for a new branch, the attendance system usually appears as one line: the price of the device. In practice at least five other costs sit behind that line, and most of them surface after the opening. **Attendance system operational costs** should be assessed over three years of ownership rather than on day one, because that is where the difference forms. This article gives no invented figures - it sets out, step by step, what actually needs to be counted.

## The price is more than the hardware

Device cost is the most visible element and frequently the smallest. The full list looks like this:

- the device and a spare;
- installation and cabling;
- a power and network point;
- annual servicing and repairs;
- enrolling staff and training;
- a fallback recording method for outages.

In a single office all six look like one-off tasks. As sites are added, each becomes a recurring obligation.

## Installation and logistics

Installation is not simply fixing a device to a wall. In practice it requires four things: a suitable location, a power line, a network connection and the right mounting height.

The most common source of delay is the third - the network. In a new branch connectivity is usually arranged in the final weeks, and the attendance system joins the queue behind it.

That is not a direct cost, but its consequence is: attendance is kept by hand for the first weeks, and that period's data is transferred into the system afterwards.

## Servicing: the layer least often counted

In a device-based model, servicing is a permanent cost and shows up in three forms.

**Planned**: cleaning the sensor, firmware updates. **Unplanned**: faults, power problems, physical damage. **Hidden**: how attendance is recorded on the day a device is out of action.

The third is forgotten most often and creates the most manual work. A single day of downtime typically means 20 to 40 lines of manual correction for HR.

## The cost of a new employee and a new site

These two costs are different and should be counted separately.

| Event | Device-based model | Mobile-based model |
| --- | --- | --- |
| New employee | Enrolment at the device | Remote record |
| New site | Device + installation + network | One record |
| Temporary location | Practically impossible | Possible |
| Closing a site | Removing the hardware | Deactivating a record |

The last row is rarely discussed and is a genuine cost in retail: hardware from a closed location usually ends up in a store room and is rarely reused at the next opening.

We cover hardware requirements in general on the [does QR attendance need extra hardware](https://qrgate.az/en/does-qr-attendance-need-extra-hardware) page.

## The value of centralised data

One factor never appears on a cost list yet affects the budget directly: whether the data is centralised.

When sites run separate systems, month-end consolidation time appears. It shows on no invoice, but it is real working hours - and it grows with the number of sites.

In practice that layer often exceeds the hardware cost; it is simply paid from a different budget, namely HR's time.

## Why a three-year view matters

In year one a device-based model can look cheaper, because most of the cost is one-off. The difference forms in years two and three.

The reason is simple: in a device model every new location repeats the cost and servicing continues. In a mobile model an extra location adds almost nothing, but the subscription continues.

A fair comparison therefore rests on three questions: how many sites will you open in three years, how many employees will be added, and is there any chance of closing a location?

## The list of hidden costs

1. **Downtime days** - manual recording and subsequent corrections.
2. **Transfer time** - collecting data from offline devices.
3. **Consolidation** - merging site files.
4. **Training** - bringing each new site's team up to speed.
5. **Spare devices** - replacing failed hardware.

None of these appear on an invoice, yet every one consumes working hours or money.

## When the cheap option turns out expensive

The most common mistake is choosing the cheapest device and planning no fallback.

The outcome is predictable. The device fails six months later, there is no spare, ordering one takes a week or two, and attendance is kept by hand meanwhile. The manual work over those weeks frequently exceeds the price difference between devices.

Which is why the third question during selection should always be: *what happens when the device does not work?*

## What to ask in advance

Six questions for a vendor: how many steps is a new site; what is the fallback during a device failure; who is responsible for servicing; is a spare device provided; how many sources can the report combine; what happens when a site closes?

Get every answer in writing - it prevents most of the disagreements that appear in year three. We collected the criteria for choosing software on the [choosing employee attendance software](https://qrgate.az/en/choosing-employee-attendance-software) page.

## A practical example

A retail chain planned to open four new locations in a year. The budget for attendance covered only hardware.

After the first two openings three extra costs surfaced: connectivity was late at two sites and attendance was kept by hand for three weeks; one installation required a new power line; and at head office, merging data from four different sources consumed roughly one working day a month.

For the third and fourth sites the company decided differently: it moved to mobile-based recording and kept reporting unified. There was no meaningful gap between hardware cost and the mobile subscription - what created the difference was installation and consolidation time.

## How to assess your own situation

Three numbers are enough: how many sites will you open in the next three years; how many device failures occurred last year; how many hours does month-end consolidation take?

If the third number is above two hours, hardware is no longer your main cost. We describe the overall benefit of such software on the [benefits of attendance software](https://qrgate.az/en/benefits-of-attendance-software) page.

## Next step

Take the last branch you opened and list every attendance-related cost - how many lines appear beyond the device itself?

QRGate lets you add a new location without dedicated hardware while reporting stays unified. [See what QRGate can do](https://qrgate.az/en/advantages) or [calculate the price](https://qrgate.az/en).

## FAQ

### What should be counted beyond the device price?

Installation, a power and network point, annual servicing, a spare device, staff enrolment and a fallback recording method for days when hardware is down.

### Which cost is forgotten most often?

Manual work during downtime and consolidating site files. Neither appears on an invoice, yet both are real costs paid in working hours.

### Why does a three-year view matter?

A device model can look cheaper in year one. The difference forms in years two and three, because every new location repeats the cost and servicing continues.

### How can the ramp-up time for a new branch be shortened?

The biggest gain comes from templating the repeatable steps: work schedules, the list of positions, notification rules and the standard report set are defined once at the first branch and reused afterwards. Where no hardware has to be installed, the opening time depends mostly on organisational preparation.
